Review and approve minutes
The draft is a starting point written for you to check. Nothing is published until you approve it.
Edit the draft
Edit the text directly on the meeting page. # makes a heading and **text** makes bold. Preview shows how it will look. Save draft keeps your work.
"⚠ check" items
When the recording doesn't make something clear (who seconded, the vote count, the time the meeting ended), the draft says ⚠ check instead of guessing. You can't approve until every one is filled in or removed. This is deliberate: minutes are an official record.
Notes for the clerk
At the bottom, For the clerk to verify lists things worth a second look, including automatic procedure checks:
- a motion with no seconder recorded;
- the same person moving and seconding;
- a tally larger than the members present, or one that doesn't match "carried" or "failed";
- fewer than a majority of members present (quorum);
- a mover or seconder who isn't on your roster (often a misspelling);
- a closed or executive session without the statute that allows it, or without a return to open session.
These are reminders, not errors. Delete the notes section before approving.
Approve and publish
Click Approve and post. The minutes go on your public page with the transcript and captions, and a certificate records when they were posted. If you need to fix something later, Reopen the minutes, edit, and approve again.
Redraft from the recording starts over from the recording, for example after you've corrected speaker names. It replaces the current draft, so save any hand edits somewhere first.
