What it is

CivicPorch is web software for the clerk's office of a small public body. It covers the meeting record from start to finish:

• Agendas, typed or uploaded as a PDF, posted to a public page with a time-stamped certificate of posting and state posting-deadline reminders.
• Minutes drafted from the meeting recording: attendance, motions, movers, seconders and votes. Anything unclear is flagged; the clerk reviews and the board approves before anything is published.
• A public meeting page for residents with agendas, approved minutes, video links, a searchable transcript and caption files, plus an embed for the existing town website.

Cost

• $10 per board per month, or $100 per board per year paid by invoice (check or ACH, net 30).
• Unlimited users and meetings. Each board includes 10 hours of recordings per month, shared across boards; more hours are $5 per 10 hours per month if needed.
• No setup fee, no contract, no annual price increase. Cancel any time.
• Free forever for one board, including two meetings drafted from recordings, so staff can try it first.

Records, security and privacy

• The clerk stays in control: AI drafts are never published without the clerk's review and the board's approval.
• Every posting keeps a SHA-256 fingerprint and time stamp, so the town can show what was posted and when.
• Data is encrypted in transit and at rest. Recordings, transcripts and minutes are never used to train AI models.
• Agendas, approved minutes and transcripts stay on the town's public page; transcripts and caption files download as files, and we provide a full export on request. Security details · Privacy policy · Terms.

Accessibility

Public pages are built to WCAG 2.1 AA: accessible HTML (not scanned PDFs) for agendas and minutes, keyboard navigation, and caption files for recorded meetings, supporting the ADA Title II web accessibility rule.
