Privacy policy

CivicPorch provides meeting-management software to public bodies ("customers"). This policy explains what we collect and why.
Information we collect
- Account information: names and email addresses of clerks and staff who use the service, and your organization's name, state and time zone.
- Customer content: agendas, attachments, recordings, transcripts, minutes and roster names you add. You control this content; we process it only to provide the service.
- Billing: handled by Stripe. We never see or store full card numbers.
- Usage: our marketing pages (this website, not the clerk app or any town's public meeting pages) use Google Analytics, which sets cookies, to count visits and see which pages help people. We also count sign-ups with a daily-rotating, salted hash of IP address and browser. We never sell data, and nothing a town enters or publishes is shared with analytics.
Processors
We use Neon (database), Cloudflare (network and file storage), AssemblyAI (transcription), Anthropic (drafting), Resend (email) and Stripe (billing). Each processes data only on our instructions.
Public records
Content you publish to your public page is public by design. Many of your records are also subject to your state's public records law; you remain the records custodian.
