Billing questions
Is it really $10 a board?
Yes. Each board, council or commission you run on CivicPorch is $10 a month, or $100 a year paid by invoice. Clerks, meetings, agendas and your public pages are unlimited. There's no setup fee, no contract and no annual increase.
What does the free plan include?
One board with everything except ongoing AI minutes: the agenda builder, certificates of posting, deadline reminders, your public meeting page and feeds, plus two meetings drafted from recordings so you can see the minutes for yourself.
Does the AI publish minutes on its own?
Never. It writes a draft from your recording, marks anything it couldn't hear clearly as "⚠ check", and waits. Minutes only reach your public page after you approve them, and you can't approve while any check marks remain.
Does it get better over time?
Yes, for your board. When you fix a name's spelling, future transcripts use your spelling. Drafts follow the style of your board's recently approved minutes, and you can add local names and places under Settings. This memory belongs to your town: it's never used to train AI models or shared with anyone else.
How long can recordings be?
Up to 5 GB, which covers several hours of video. Each paid board adds 10 hours of recordings a month to your town's shared allowance, with 25% extra room for busy months before drafting pauses. Need more for long meetings? Add 10 hours for $5 a month without adding a board. Meetings themselves are unlimited.
Do you host our meeting video?
No. Keep video on your own YouTube channel, where it's free and yours. Paste the link and we embed it next to the agenda and minutes, and give you caption files to upload.
Can we pay by check?
Yes. Choose annual billing and we'll send an invoice payable within 30 days by check, ACH or card. We can provide a W-9.
What happens to our records if we leave?
They're yours. Download the agendas, minutes, transcripts and captions any time. Cancel from the billing page; there's nothing to negotiate.
Is our data used to train AI?
We never train on it, and our drafting provider (Anthropic's API) doesn't train on API data by default. Transcripts are deleted from our transcription provider as soon as we've saved them, and recording files are deleted 90 days after the minutes are approved.
Is this under our purchasing threshold?
Almost always. A year for three boards is $300, well below typical purchase-card and small-purchase limits, so most clerks can buy it without a bid or a council vote. Check your own purchasing policy.
